Job Description
We are seeking a Part-Time Events Bookkeeper & Contracts Administrator to join our team! In this role, you'll play a vital part in ensuring smooth financial transactions and managing event contracts. If you have a knack for organization, attention to detail, and a proactive attitude, this could be the perfect opportunity for you. Your primary responsibilities will include maintaining financial records, managing payments, and coordinating event contracts with both the events and accounting teams.
Pay Rate: $25 per hour
Weekly Hours: 20-25 hours per week
Key Responsibilities
Maintain accurate records for all event-related financial transactions, including purchases and receipts.
Track invoices, receipts, and payments to ensure they're processed on time and follow up on overdue payments.
Monitor third-party service costs and rental expenses to ensure they align with contract budgets.
Collaborate with the Accounting team to ensure regular alignment of financial data between Events and Accounting departments.
Prepare and analyze detailed Excel reports on event financials, including received payments and outstanding balances.
Identify spending trends and revenue collection patterns for event-related finances and generate appropriate financial reports.
Organize and maintain event contracts within a shared Google Drive system.
Ensure invoicing and billing align with client contract terms.
Be available to respond to urgent financial inquiries on weekends related to deposits, invoices, and contracts.
This position is primarily remote, with in-office attendance required once a week or as directed by management.
Education & Experience
A Bachelor's degree in Accounting, Finance, Business Administration, or a related field is preferred.
At least 2-4 years of experience in bookkeeping, financial administration, or contract management.
Experience in event management, hospitality, or a similar field is a plus.
Previous experience in a small team or startup environment is advantageous.
Skills & Abilities
Advanced proficiency in Excel (90% of tasks will involve using Excel).
Familiarity with DocuSign, PayPal, Bill.com, and other online payment platforms.
Experience in invoicing and billing processes.
Basic accounting knowledge, with the ability to perform accurate calculations and draw logical conclusions.
Strong communication and relationship management skills.
Exceptional attention to detail and ability to follow up on assigned tasks.
Ability to thrive in a fast-paced, small-team environment and maintain a team-player mentality.
Flexibility in schedule to address urgent inquiries outside of standard work hours.
