Job Description

Native Landscapes in Truckee, CA seeks a detail-oriented and highly organized part-time Administrative Assistant to support the daily operations and administration of our landscape and snow removal company. This role is essential in ensuring smooth scheduling, exceptional customer service, and accurate bookkeeping as assigned.

The ideal candidate thrives in a fast-paced work flow, effectively juggling multiple responsibilities while maintaining excellent communication with customers and field crews. Note: This is a remote role and requires access to a cell phone, laptop/computer as well as dependable internet connection.

The administrative assistant works (PT approximately 20-25 hours/week); Mon - Fri, 8am-1pm. Flexible hours based on needs and mutual agreement with owner/managers.

Key Responsibilities:Scheduling & Operations Support:

  • Coordinate and maintain schedules for landscape and snow removal crews.
  • Adjust schedules as needed based on weather conditions, customer requests, and crew availability.
  • Communicate assignments and route changes to field teams.
  • Use of CRM platform (Jobber) for scheduling and administrative tasks.

Customer Service & Communication:

  • Serve as a point of contact for customer inquiries via phone, email, and in person.
  • Address customer concerns, service requests, and scheduling changes promptly and professionally.
  • Maintain positive relationships with clients, vendors and staff to ensure high satisfaction in operations.

Administrative & Office Support:

  • Support of Accounting operations through recording invoices, tracking payments and expenses, following-up on outstanding balances.
  • Support payroll processing, including tracking employee hours and ensuring accuracy.
  • Process payments, record checks and prepare bank deposits.
  • Maintain and update customer records, contracts, and service agreements.
  • Support the Office Manager/Controller with reports, data entry, bookkeeping, mail pick-up and other administrative tasks as needed.

Qualifications & Skills:

  • Previous experience in an administrative or customer service role (preferably in landscape, construction, snow removal, or a similar service industry).
  • Strong organizational skills with the ability to multitask and prioritize work effectively.
  • Excellent communication skills, both written and verbal.
  • Proficiency in office software (e.g., Microsoft Office, Google Suite, QuickBooks, scheduling software, operational Customer Relationship Management platforms.
  • Ability to work in a fast-paced environment and adapt to changing priorities.
  • Experience handling accounting/basic bookkeeping including expense tracking, invoicing, payroll, or scheduling is a plus.

Work Environment:

  • Remote role with potential for occasional meetings in Truckee. Must live within 10-miles of Truckee operations.
  • Dedicated work computer and dependable online connectivity.
  • Seasonal workload variations, requiring flexibility during peak snow and landscape seasons.

Compensation: $23-$27 /hr DOE, skill and performance
